The Employee Experience Assistant is responsible for Human Resources mail sorting and delivery, responding to requests for personnel file contents, electronic personnel file document scanning, personnel file maintenance, and off-site storage of personnel files. The Employee Experience Assistant is also responsible for employment, salary and benefits verifications not managed by a third-party administrator. Additional duties include, but are not limited to, issuing duplicate W-2s, ordering office supplies and assisting in coordination of department moves/equipment needs.
Scanning of hard-copy and upload of electronically saved personnel file contents into On-base
Project coordination of large-scale scanning projects
Immediate responses to requests for personnel file contents associated with external agency audits
Obtaining and printing of personnel file requests by employees and sending (mail or E-mail) within 7 calendar days
Responding to requests for benefits, employment and wage verifications within 48 hours that are not handled by our 3 rd party administrator
Advising employees on process for opting-in to electronic W-2 process
Retrieving requests for duplicate W-2s and initiating process to obtain and send requested documents within 24-hours
Regularly maintaining adequate supplies and being the contact for department supplies when requested
Coordinating moves as needed
Ordering office equipment as requested and approved
