The Human Resources Recruitment Coordinator will support the SC CTSI Teams by assisting in day-to-day recruitment activities. She/he will post jobs and advertisements. Source qualified candidates through the USC job site, internal and external marketing activities, and job boards such as LinkedIn Recruiter or similar. Interact, screen, and guide prospective candidates through the USC application process. Prepare and ensure smooth onboarding and training process for managers and new hires. Provide operation support to special projects when needed.
Help identify job titles and responsibilities, competencies, qualifications, and skills development, and placing a job posting on relevant sites. Assist hiring managers with job posting and advertisement.
Perform talent acquisition transactions throughout the recruiting lifecycle (e.g., managing applicant and candidate information in Workday, triggering background checks, and onboarding activities for new hires). Maintains responsive lines of communication with recruiters and hiring managers to resolve outstanding questions or issues.
Review and coordinate candidate applications, conduct phone interviews/ screenings as needed, refer candidates to hiring managers and participate in applicant interviews as needed. Provide transactional guidance, coaching, training, and reference information/materials to hiring managers to prepare for applicant interviews; manage transactional activities in Workday.
Proactively source active and passive candidates through job boards, employee referrals, networking, and internal databasesâongoing networking and relationship building with potential candidates.
Solicit constructive feedback and insights from hiring managers, recruiters, and the broader team. Proactively incorporates suggestions for continuous work improvements. Stays current with recruiting best practices and technology (e.g., Workday modules). Proposes automation for manual tasks to increase consistencies and efficiencies.
50% Onboarding/Human Resources Support
Coordinate with HR to finalize and request offers, complete hiring, and onboarding process (e.g., new hire documents, I9, JIQ, JC, etc.), request equipment (e.g., laptop, keys, etc.) and IT access.
Compile training materials (e.g., links, documents, grant information, etc.) specific to the university, institute, and team. Work with managers to ensure new staff has agendas and training materials to begin their roles successfully.
Develop timelines and SOP for the full-cycle recruitment process. Produce staffing reports as needed. Compiles and prepares data for special projects. Provide support for related human resources events and activities. Works with internal and external resources to complete human resources-related projects in a timely and efficient manner.
Maintain employeesâ information and records, policy and procedures manuals, and other communications. Maintain all job descriptions and job postings; execute all required job postings on time.
Performs other related duties as assigned or requested.

Recruiting and human resources experience highly desired
Demonstrated proficiency in MS Suite (e.g., Word, Excel, Outlook, etc.) and internet-based recruiting resources
Bilingual in English and Spanish preferred
Bachelorâs Degree preferred
Ability to build relationships and create a meaningful candidate experience
Excellent customer service (must be comfortable over the phone and via email)
