The Payroll and HR Associate is responsible for assuring the accurate and timely processing of payrolls, (bi-weekly, semi-monthly, and off cycle), proactive coordination of all payroll review processes, as well as oversight of MCAD’s time and attendance record keeping systems and processes. The Payroll and HR Associate operates in a team environment, working under tight deadlines, with confidentiality and discretion to be maintained at all times. This position will provide day-to-day administrative support and enhance the effectiveness of the Office of Human Resources. This position requires an extremely perceptive person who is capable of relating to individuals at all levels within the organization. The Payroll and HR Associate must be sensitive to college needs, employee and student goodwill, and overall brand equity of MCAD as an employer.
Enters, maintains, and/or processes information in the payroll system; information may include employees hourly rates, salaries, commissions, bonuses or other compensation, time worked, paid leave and holidays, deductions and withholding, address changes, and other information.
Ensures proper processing of payroll deductions for taxes, benefits, charitable contributions, garnishments, and other deductions.
Reviews Payroll Change Log for every payroll to ensure accuracy based on employment changes and/or status changes.
Prepares Payroll Worksheet in collaboration with the Sr. Human Resources Generalist, addressing any variances proactively.
Proactively collaborates with HR team members to ensure employee data is accurate and escalates when there are any errors/variances found during payroll processing so that changes can be made prior to finalizing payroll.
Transmit payrolls via MCAD’s HRIS/Payroll System in a timely fashion and retrieves or downloads the completed payrolls.
Issues, or reissues, physical or replacement checks or direct deposits due to payroll errors or separation.
Completes all tax and payroll related HRIS/Payroll system training annually as well as at least one additional training per quarter (via APA, World at Work, SHRM, etc.).
Completes initial reviews of quarterly reports and annual W-2 previews, balancing totals with amounts reported to federal and state government each calendar year.
Performs other related payroll functions including answering employee questions and distributing or mailing checks.
Monitors payroll @ mcad.edu and provides prompt responses to employee and supervisor questions.
Human Resources Functions:
Assists in the maintenance of accurate and up-to-date human resource files, records, and documentation, including scanning and filing of documents.
Maintains the integrity and confidentiality of human resource files, records and employee data.
Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
Transmits TIAA funding for each pay cycle on or prior to pay date, and provides TIAA transmittal receipts and reports to the Accounting department.
Prints and codes all Office of Human Resources invoices, and submits for approval.
Provides clerical and administrative support to the Office of Human Resources.
Assists with other HR related tasks as needed, such as New Employee Orientation (NEO) and annual benefits open enrollment.
Carries out other duties and various research projects and/or special projects as assigned by the AVP of Human Resources.
This position has no supervisory responsibility
Bachelor’s degree required. Degree in Accounting or Human Resources, or equivalent field preferred.
One year of payroll experience required. Two years of experience in payroll and/or Human Resources preferred.
Proficiency with payroll and/or HRIS systems required. Experience using Paylocity strongly preferred.
Proficiency with Microsoft Office Suite, Google Suite, or related software strongly preferred.
Demonstrated organizational skills and attention to detail required.
Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
