Provide support for the department of Radiology by coordinating Human Resources activities of a large department composed of clinical, academic and research personnel.
Employee Hiring, Reappointment and Termination processes such as:
Recruitment and advertising assistance
I-9 and background check processes
International hiring processes: working with OISS to complete visa forms
Assisting search committee chairs and affirmative action advocates
Monitoring postings for new applications
Drafting/sending offer letters, multiple appointment memorandums and routing for signatures
Maintain department HR records such as:
Physician licensures and follow-up (peer review or reference requests)
Performance excellence activities
Faculty reappointment, promotion and tenure (RPT) information
Digital personnel files in designated secure space
Support for faculty members and administrative personnel such as:
Travel and conference attendance
Course / conference material preparations
Maintains reports from EBS and other sources for employee activity such as:
End dates for fixed term employees
Department employee list
Salary and payroll lists
Department organization chart
Employee orientation and training activities such as:
Training search new committee members
Creating and completing onboarding task lists
Training on time entry and time recording processes
Completion and disposition of termination and separation checklists
Reminder emails of MSU policies and procedures as directed
Coordination of physician license data, provider updates and credential process
Assist with department administrative office support such as:
Greet and assist walk-in visitors
Distributing and sorting mail
Maintaining common areas
Act as backup for payroll entry, chairperson support and ordering supplies
Maintain confidentiality of employee file contents and department HR meetings and discussions. Assist as a liaison to college HR contacts as needed on confidential matters.
Other duties as assigned.
Unit Specific Education/Experience/Skills
Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in human resources, a related social science field, or a field related to the operations of the department; six months to one year of related and progressively more responsible or expansive work experience in a human resources function or an area related to departmental operations; or an equivalent combination of education and experience. Proficiency in work practices that maintain confidentiality and discretion.
Bachelor's degree in Human Resources
Certified Human Resources Specialist (CHRS) experienced with MSU hiring processes for academic HR, support staff, students and temporary employees
Proficient in MS Word to include mail merge and use of sections with formatting to combine multiple documents into a single offer letter file saved as both editable .DOC and .PDF
Proficient in MS Excel to include basic formulas and entry of mail merge data as well as embedded excel tables in MS Word documents.
Familiar with personnel record retention schedules and files management including electronic record keeping
Proficient with Office 365 functions such as SharePoint, Teams, Forms and One Drive
Experienced with Outlook calendaring to assist with schedules
Ability to work with interruptions and reset priorities as needed when Human Resources issues arise
