1.Collect and input all employee data into the Ellucian Colleague system, on the appropriate screens. Coordinate with Academic Affairs regarding all new hire paperwork for new visiting lecturer/adjunct faculty. Keep a tracking system to ensure that all paperwork is completed and entered into Ellucian Colleague, including the verification of the I-9 forms on a timely basis. Contact appropriate supervisor if all necessary new hire information has not been received.
2.Assist the Payroll Coordinator with various payroll tasks to support the process such as; the processing of bi-weekly weekly student and stipend payrolls by accurately inputting student timecards, stipends and tracking Federal Work Study using a computer-based payroll system; verify all processes of information for accuracy and completeness of information in a timely basis; and semi-monthly payrolls.
3.Assist the Payroll Coordinator with various tasks on an annual basis in the preparation, process and distribution regarding year-end W-2's and the processing of fiscal year-end reports for audits.
4.Work with units to ensure student time cards and stipend forms are complete and accurate, and all requested information is on file. Reconcile student and stipend payroll related account information; produce spreadsheet tally and other required reports.
5.Run payroll reports to ensure accuracy of data. Process reports for annual auditing and year-end reporting.
6.Work with managers and other campus stakeholders to create reports, interpret personnel data and respond to requests for information from managers and employees.
7.Provide coordination, and administrative support for College training/development programs, under the direction of the Director for Human Resources.
8.Process and maintain the records for the monthly payroll bank reconciliation, assist with the fiscal and year-end audit process and conduct annual student I-9 audit.
9.Process required downloads and report New Hire information to the Illinois Department of Employment Security (IDES) on a monthly basis.
10.Maintain and update tax forms for employee use. Monitor the HR web pages to ensure all payroll related forms are up to date, add new forms when necessary and on a yearly basis supply new tax withholding forms for posting to the HR web page.
11.Assist in the front desk coverage in the absence of other support staff and other Human Resources staff during absences/vacations or during times of unusually heavy workloads. May also assist with HR department special events.

A high school diploma/GED is required.
A minimum of (2) two years of experience in a computerized office environment, especially word-processing, spreadsheets and database management, and/or human resources experience, ideally in an academic setting, preferred.
To provide support to the Office of Human Resources in relation to office procedures and functions and to prepare, distribute and maintain College Student Payroll on a bi-weekly basis and assist with the Support Staff and Administrative payrolls.
Additionally, this position will provide significant support as it relates to personnel records management, employee requests, and the College's training/development efforts.
