The Vollum Institute is a privately endowed research institute at Oregon Health & Science University dedicated to basic research that will lead to new treatments for neurological and psychiatric diseases. Vollum scientists have broad-ranging interests that coalesce around molecular neurobiology and cellular physiology. Position provides support for finance and other HR administrative activities within the Vollum institute while working with the Finance Manager, faculty, employees and support staff. This position will primarily focus on serving as a liaison between central units and departments on behalf of Vollum as necessary to resolve accounting and provide some support to assist with administrative HR issues. This position will support and supplement the budgeting, planning, and reporting and activities of the Finance manager as needed.
Prepare, submit and track accounting transactions for accounts payable and receivable activities (disbursements, reimbursements, VA billing, and deposits). Prepare adjusting JEs for intra and inter institutional transfers (monthly true up, corrections). Provide transactional iExpense support as needed. Maintenance of petty cash. Prepare monthly financial statements and comparative reports for review; month end reconciliations, investigates questionable transactions and takes corrective action. Develops and maintains complex financial spreadsheets. Assist in reviewing grant spending, verifying within guidelines.
Accounting support for NGP program, HHMI activities and Vollum service centers. Includes budget assistance, financial reporting and regular IBS billing activity. Provide monthly financial statements and maintain internal budget tracking systems for the programs/centers. Maintains quarterly exemption funding for SOM students.
COA maintenance activities including alias requests, account disables, new faculty account setups. Maintains active grant listings for the department.
Fellowship activations and stipend support for trainees (pre and postdoc). Includes facilitating activations in commons and stipend memo setup, tracking and maintenance
General HR administrative support in job posting, hiring, onboarding and job change support. Including preparation of HR and volunteer forms (e.g. ePARs, HREs, badge requests) as well as assistance with visa application materials for submission to OIA. Assist with question on required training (Compass) and benefit enrollment system and triage to the appropriate resources as needed.
General personnel related support/maintenance including timekeeping activity (Kronos), account activation/access (CARS), departmental email distribution list maintenance (Outlook) and rosters.
2 years of accounting technician/bookkeeping experience. In the absence of an AD, 4 years of accounting technician/bookkeeping experience; OR Equivalent combination of experience and training.
Ability to perform independently and track and maintain time sensitive finance/HR transactions.
Ability to perform diagnostic functions (reconcile, trace, investigate, resolve) on various financial transactions.
Excellent communication skills
Experience working with OHSU general funds, foundation accounts and federal grants.
Experience working with a broad customer base (faculty, staff, central admin).
Knowledge of OHSU accounting practices and transactional processes/systems. (e.g. Oracle, Cognos, iExpense, iLab, IBS, InfoEd).
Knowledge of OHSU HR recruiting, hiring and onboarding processes.
