Human Resources Assistant III, Leadership and Organization Development 13804
The Leadership and Organizational Development department in Talent and Culture at West Virginia University is seeking applications for a Human Resources Assistant III. This position is responsible for providing operational and administrative assistance to the Director and to the Leadership and Organizational Development staff in support of the operations of the office and its initiatives, as well as performs a variety of administrative duties to support the Classification and Compensation staff.
In order to be successful in this position, the ideal candidate will:
Work with Director, LOD team, and external resources to provide technical and professional support for OD initiatives, trainings, assessments.
Working with Shared Services, ensure completion of event and training logistics including reserving, confirming, setting up and breaking down training rooms, prepares and sets up equipment/technology, supplies/materials, participant packets/handouts, etc.
Develop new work flows, processes, and support system to ensure efficient operations within the LOD unit.
Oversee timelines for the monthly training updates and reminders for training completion.
Assist with editing, creating and organizing material for tools/toolkits, handouts etc. associated with support of LOD consultants.
Prepare advanced work processing, spreadsheet, and presentation documents as assigned which may include PowerPoint presentation, reports, manuals, etc.
Work with clients to ensure that surveys, assessments, etc. are assigned appropriately and completed on time.
Produce requested/needed reporting for a variety of purposes including employee files, client information, department metrics as needed or requested by, for example, University attorneys.
Manage budget of individual projects as well as overall LOD budget and outside contracts to monitor deliverables, conditions, and payments.
Develop a variety of communications to internal and external stakeholders, including brochures, marketing material and various communications from the unit.
Supports the needs of trainers and consultants throughout the entire process of the training/event.
Enter data into systems accurately, efficiently, and timely and extracts relevant data quickly. Uses multiple database systems. Acts as point of contact for questions/support needed for training/learning management systems (for example, Qualtrics, Augusoft, Skillsoft, Go Beyond Recognition Portal).
Working with Shared Services, supports WVU Research Corporation with administrative tasks related to on-line learning - primary contact for vendor, employees and supervisors
Assist (as needed) in monitoring the GoBeyond Recognition website twice a day for appropriate use of site and takes action, where needed.
Manage the LOD website and social media presence ensuring information is accurate, appropriate, and timely.
Perform all other job-related duties for LOD as assigned.
Addresses all email received by the Compensation team's resource/vanity email account in a timely and efficient manner. This includes receipt of all job postings to be classified and position/salary reviews requests, verifying that all job posting and job review documents received are complete and accurate. Verify position and employee details in Mountaineer Administrative Processes (MAP; the official record system for WVU's business processes including human resources information). Logs work received into Access database and distribute work to correct compensation analyst.
Coordinates delivery of completed job compensation reviews and job postings to Shared Services team for processing. This also includes collecting completed work from the compensation analyst, updating Access database with final compensation details, and ensuring that the Shared Services team receives completed work in a timely manner for processing.
Answers the Compensation unit main phone line.
Updates information on the Compensation unit's website.
Runs reports as needed and updates metrics for department.
Performs all other job-related duties for the Compensation team as assigned
Pay Grade: 14
Associate's degree or equivalent education and experience
Two (2) years of progressively responsible experience demonstrating capacity to handle the tasks indicated in the duties and responsibilities. Experience with HTML, CleanSlate, and website design is preferred.
Skill in gathering, managing, and reporting data and information quickly and accurately.
Skill in using Microsoft Office (Outlook, Word, Excel, and Power Point), and Adobe Acrobat.
Excellent oral and written communication skill and ability to speak comfortably in front of groups when needed.
Skill in navigating easily in a highly complex, demanding environment
Ability to perform basic math calculations and managing a budget.
Ability to be a resourceful team-player, with the ability to work independently as appropriate.
Ability to be a forward-looking thinker, who actively seeks opportunities and proposes solutions as appropriate.
Ability to manage websites and create electronic forms.
Ability to establish priorities, adhere to deadlines, and have high attention to detail and follow through.
