Objectives of this Role
Support the Director of Finance with all internal and external human resource-related matters.
Provide guidance and interpretation of policies and procedures for business operations.
Identify and suggest process improvements in all facets of HR administration.
Mentor managers with respect to human resource practices and coordinate the execution of HR processes involving managers and others.
Provide a positive message to employees regarding the value proposition of working at Maimonides, while maintaining fidelity to disclosing complete and accurate information.
Ensure legal compliance with HR state and federal regulations and applicable employment laws
Coordinate hiring process among various stakeholders including elements of job postings, liaison with recruiters, applicant tracking, salary calculations, and offer letters and/or faculty contracts.
Handle all administrative tasks for onboarding, new hire orientation, and exit interviews, including processing background checks and entering data into payroll (Paycom), benefits, and HR information systems.
Work with brokers and Director of Finance to finalize benefits solutions. Coordinate open enrollments and orientation for employee benefits programs. Oversee employee self-service benefits enrollment through Paycom, updating plan information annually. Process benefits change requests and reconcile monthly invoices.
Issue employment letters and compensation contracts to new and returning faculty, staff, and administrators, with special focus on executing the annual faculty re-contracting process.
Facilitate and track changes in employee responsibilities, status, and/or compensation, maintaining change log for payroll input. Be the primary backup for payroll processing, including bi-weekly updates to employee files, tracking vacation/sick pay, and inputting hourly timesheets.
Develop/edit/update job descriptions for all employees. Complete periodic audit of job descriptions and employee classifications, reclassifying employees as appropriate.
Provide information and guidance to employees with respect to policies and procedures, absence and health issues, visa status, conduct, grievance matters, benefits, and other employee relations matters.
Administer all leaves such as FMLA, parental, and workers comp, adhering to proper procedures and gathering required documentation.
Create and distribute internal communication regarding changes in benefits or policies, and distribute employee notices in compliance with applicable law and regulation.
Advise managers on hiring, disciplinary, and termination procedures and support them with other personnel matters.
Maintain employee personnel records and update HR files. Create HRIS reports through Paycom as needed.
Other projects and tasks as requested by the Director of Finance or Chief Executive Officer to support the smooth functioning of human resources at the school.
Skills and Qualifications
Proven success working in an HR department; minimum 3 years’ experience.
Thorough knowledge of HR procedures and policies.
Strong detail-oriented and resourceful mindset.
High level of interpersonal skills to handle sensitive and confidential situations and information.
Clear verbal and written communication skills; patience with employee learning styles and idiosyncrasies a plus.
Strong knowledge of MS Office, HRIS systems, and Payroll systems, and comfortable learning new technical systems. Experience with Paycom a plus.
Working knowledge of HR laws and regulation a plus.
Reports directly to the Director of Finance.
Position is four days a week (80% time), but full-time applicants will also be considered.
