This full-time position is responsible for the preparation and maintenance of various Legal Recruiting and HR administrative matters for the attorneys and staff members in the Houston and Austin offices of Reed Smith. Recruiting duties also include, but are not limited to, coordination of the fall recruitment process and summer associate program, new associate orientation and integration, and assistance with recruitment of lateral lawyers for the Houston and Austin markets. Duties include, but are not limited to, the staff, attorney, and summer associate hiring process, interaction with other service departments (Payroll, Benefits, RSU and IT) and other HR personnel in other officess, assist with special projects, open enrollment, NALP Forms, and RSU training.
Assume a lead role with organizing the Fall Recruiting and the summer associate program. Create schedules, travel arrangements, pre-arrival information, arrival packages, and follows up with all candidates.
Assist with the registration process for fall on-campus interviews (OCI) for all regional law schools and select Firmwide schools.
Prepare OCI packets for interviewers containing interview schedule, recommendation summary sheet, candidate evaluation forms, resumes, transcripts, marketing materials and law school information.
Assist with candidate interviews, and coordinate lodging and travel arrangements for candidate with firm's travel agency; communicate confirmation information to candidates.
Prepare and distribute in-house attorney interview schedules through LawCruit, which include evaluation forms, resume, transcript and writing samples.
Collect and compile interviewer's evaluations for recruiting committee meetings.
Create and distribute recruiting status reports as needed.
Work with other Recruiting Managers/Coordinators in the various Reed Smith markets to coordinate recruiting efforts and summer/new associate programs. Meet regularly with other recruiting managers/coordinators to make recommendations for strategic development of recruiting efforts and summer program.
Prepare correspondence for Hiring Partner and Business Manager Signatures.
Track resume circulation, generates offer/rejection letters and statistical reports using LawCruit.
Update and maintain Lawcruit database and legal recruiting database.
Provide general administrative support to the Houston Business Manager.
Provide assistance to Director of Legal Personnel with attorney and paralegal issues as needed.
Work closely with Recruitment Coordinator in the Global Solutions Centre to assist in the staff hiring process (conduct in-person interviews, provide input on final candidate selection, etc.)
Assist with new employee integration (introductions to offices, collection of I-9, answer questions and provide follow-up, if necessary).
Process employee HR Transactions for Houston and Austin offices (salary changes, terminations, etc.)
Draft memos, letters, and other forms of written communications using existing document templates.
Assist with organizing office sponsored events (all summer associate events, staff appreciation week, wellness works seminars, etc.)
Provide back-up support to the Texas Legal Recruiting Manager and Houston Business Manager when out of the offices.
Understands and is familiar with Firm systems, policies, and procedures, client services and future goals in order to troubleshoot questions, problems or concerns.
Other Firmwide projects as assigned.
Education: Bachelor’s degree in a professional discipline required.
Experience: A minimum of two years of Legal Recruiting or Human Resources experience is preferred. Law firm experience is also preferred. Should have a demonstrated understanding of current market trends and philosophies.
Skills: Requires strong organizational skills, excellent interpersonal and communication skills, good judgment, a professional demeanor and the ability to provide an excellent first impression of the Firm. Must work well with all levels of Firm personnel, establish effective working relationships throughout the Firm and react to difficult situations appropriately. Confidentiality is essential. Must be highly motivated, creative, flexible, adaptable to change and results-oriented. Must have strong knowledge of MS Offices products, including Word, Excel and PowerPoint.
