DESCRIPTION: Reporting to the Human Resources Manager provides professional support in the maintenance and administration of the benefits and wellness program. Processes all employee benefit changes and updates in the payroll and benefits systems while ensuring the integrity of employee data and human resources/payroll records. Provides support with retirement plan administration, annual audit and testing, and all human resources, payroll, and benefits related audits.
Serves as the main point of contact for the campus community with respect to inquiries regarding benefits and wellness.
Facilitates the employee benefit programs for group health insurance including processing new enrollments, open enrollment, beneficiary changes, and life events using the human resources/payroll system. Meets with and assists employees with benefits questions, completing documentation, and submitting supporting documentation to add or delete dependents.
Coordinates activities for the wellness program including assisting in developing the wellness program and communications, preparing health related educational flyers, and coordinating activities and events.
Maintains the plan summaries, benefit guides and other related information on the human resources webpage.
Processes leaves of absence, maintains records, tracks and collects benefit premiums, and coordinates the SDI/PFL payment processing.
Calculates benefits due for benefit-eligible employees who are paid less than twelve months during the fiscal year. Communicates with employees on benefits payments due, collects payments, and updates records to reflect payments received.
Reports workers' compensation injuries to service provider, maintains workers' compensation files, participates in claims review, and assists in completing annual OSHA report.
Balances service provider invoices with employee deductions, researches discrepancies, and reconciles all vendor invoices on a monthly basis. Identifies methods to streamline invoice processing to ensure monthly balancing.
Processes all requests for COBRA including employee notification of process, payments, reconciliation, and researching issues and discrepancies.
Maintains current knowledge of benefit-related laws and regulations such as FMLA, CFRA, PDL, and COBRA.
Assists with the open enrollment benefits fair. Contacts vendors, determines needs, coordinates with event services, and assists in answering employee questions on changing benefits. Tasked with improving the employee experience at the open enrollment event.
Collaborates with other team members to improve processes and procedures related to human resources.
Performs other duties and special projects as assigned or directed. Provides backup to other human resources functions as needed to include working on special projects and training.
MINIMUM QUALIFICATIONS: Position requires a Bachelor's Degree and a minimum of three (3) years of progressively responsible experience in benefits administration or an equivalent combination of education and experience in human resources is required. Advanced experience with MS Office (Word and Excel) to prepare reports, spreadsheets, and reconcile invoices on a monthly basis. Knowledge of and ability to use HRIS programs required and experience with Ultimate Software is highly preferred. Bilingual Spanish preferred. Knowledge of employment and benefit-related laws and regulations such as FMLA, CFRA, PDL, COBRA, ERISA, and HIPPA preferred.
Must be self-motivated, driven, and have strong interpersonal and written communication skills both written and verbal; requires excellent organizational skills, be detail-oriented, possess excellent analytical and problem solving skills. Successful candidate will demonstrate the ability to present benefit and human resources information in a manner easily understood by individuals; to work with confidential information; work with numbers, prepare formulas in Excel and perform mathematical calculations competently; and to work independently with minimal supervision in a multi-task environment. Must be able to interact with a culturally and ethnically diverse population of students, faculty and staff.
