The Faculty Affairs and Human Resources Office in the Mailman School of Public Health seeks an Administrative Assistant to assist with the overall HR and Faculty Affairs operations of the office. This position reports to the Senior Director of Human Resources.
The incumbent will assist with data management including producing relevant HR and faculty affairs reports as requested. Incumbent will work closely with the Associate Directors on all personnel /academic appointments processing, from tracking incoming transactions, requests to reviewing employee documents and ensuring accurate e-filing, and tracking open-items as identified by Associate Directors. The Administrative Assistant will also assist with the completion of I-9 processes for new employees.
Working closely with the Administrative Manager, the incumbent will be responsible for time sheet and payroll administration by working collaboratively with all departments and centers to ensure timely submission and review of time sheets and other payroll records including the collection of the quarterly attestations and bi annual and annual time-off data.
The incumbent will work on special projects, respond to routine inquiries from faculty, departmental administrators, and staff and handle routine data requests; maintain filing system; assist with photocopying, faxing and delivery of time sensitive and confidential documents.
Assist with organizing events (training programs, brown bag series, Staff Awards, Welcome Program, New faculty orientation etc). Perform other related duties as assigned.
Assist with all administrative and academic personnel transactions including photocopying, and maintaining filing system; assist with producing reports, tracking full cycle of transactions; biweekly time-sheet administration, maintain spreadsheet of mandatory training and compliance. Manage the Associate Dean's calendar.
Type correspondence and other documents, answer telephones, respond to routine inquiries, manage the time sheet process for support staff; assist with time and attendance requirement.
Assist with organizing events (training programs, brown bag series, Staff Awards, Welcome Program, New faculty orientation etc).
Perform other duties as assigned
Bachelor's degree or equivalent in education, training and experience, plus two years of related experience
Must have the ability to work independently and efficiently
Excellent communication and organizational skills required along with superior customer service skills.
Word processing, spreadsheets, and database (MS Word, Excel, PowerPoint) required; preferred experience with HR software, i.e., HRIS or HRMS such as PeopleSoft.
High level of discretion and confidentiality is required ensuring the utmost discretion in all matters is maintained
Must have a strong interest in HR and/or Faculty Affairs policies and principles.
Prior Higher Education Experience is a plus
