Under direction from the 1.) Assistant Director of Finance & Operation and 2.) Assistant Director of Finance and HR the successful candidate will assist in the daily processing of invoices, personnel / payroll processing, accounts payable, accounts receivable, and all related accounting/clerical tasks. In addition, this position will provide: support & coordination of the schools’ transportation process, assistance to the development office, support to the mid-day & after-school program, facility rentals, etc.)
Business, Accounting & Human Resources (HR)Responsibilities: • Assist in development and administering of financial & HR based procedures and guidelines for the business office. • Assist in the AP/AR process as-needed and as defined by the Assistant Director of Finance & Operations. • Main point of contact for school ordering throughout the year. • Process all staff orders via Amazon, Staples, WB Mason, etc. • Process purchase orders and invoices on a daily/as-needed basis. • Maintain accurate records for accounts, as-needed. • Work collaboratively with the business office, Assistant Head of School and Head of School assisting teachers in the development, implementation and maintenance of a strategic procurement process. • Work with the Assistant Director of Finance & Operations on facility rentals, management of the overall process, coordination of the calendar and accurate and appropriate communication to all staff. • Enter and maintain financial/HR data and financial/HR database applications. • Assist the Assistant Director of Finance & HR with payroll as-needed. • Via direction from the Assistant Director of Finance & HR: process and manage information within the ADP application. • Update employee benefits in payroll system and make necessary updates and changes to keep database current & accurate. • Assist in the creation of an online storage system and help organize and manage current paper files. • Distribute, track, review and process bus request forms and ensure set-up and coordination with transportation is accurate. • Provide staff with reimbursement request forms and ensure communication of reimbursement process is clear. • Manage use and funding related to Postage machine. • Oversee and ensure all business office administrative/clerical task are supported (i.e. supplies, copy paper, binders, fax machine, all paper forms, office mail, lamination, shredder). • Assist business office, development office, curriculum & instruction as-need and when ‘all-hands-on-deck’ is required. • Other duties as assigned.
Minimum Requirements: • Bachelor's degree required. • Strong understanding of school-based / student-centric work preferred. • 3-5 years of related Business Office / HR assistance support is preferred. • Requires a firm understanding of the AP, AR and overall procurement process. • Strong strategic and analytical ability, including experience in process development. • Must be able to work with limited direction and comfortable making decisions and/or recommendations to leadership. • Excellent interpersonal and organizational skills. • Must be able to effectively communicate both orally and in writing with all levels of employees, supervisors, management, and outside contacts. • Intermediate or advanced Excel skills is a plus. • Ability to maintain confidentiality of sensitive data and materials. • Ability to ‘think’ outside of the box.
Other Requirements: Must have satisfactory outcome of CORI (Criminal Offenders Record Information) and fingerprinting check prior to starting employment.
About Tenacre Country Day School
Tenacre School is a small, co-educational day school for children in Pre-Kindergarten through Grade Six. Our mission is "to nurture and challenge each child, every day." Tenacre enrolls 193 students in Pre-Kindergarten through 6th Grade, and has a teaching staff of 35. There are two teachers in every homeroom, plus special subject teachers for science, Spanish, art, technology, library, music, PE, and Spanish. Tenacre also has resource teachers for reading and math, a learning consultant and a technology coordinator. We have our own custodial/maintenance staff and also have our own food service staff.
