Columbia Business School Human Resources is committed to supporting best practices for recruiting, onboarding, orientation, and engagement for all staff. Reporting to the Senior Director(s), the Human Resources Manager will serve as the HR point of contact while delivering a high level of customer service to faculty, staff, and students. S/he will ensure proper processing procedures are developed and executed as well as assure adherence to established University policies. The HR Manager will respond to all inquiries in a timely and efficient manner and exemplify the customer service values and standards representative of the Business School.
Act as the primary point of contact for the HR department which includes greeting visitors to HR, answering all HR phone lines, and management of the general HR email account, ensuring that all inquiries are responded to promptly. Work with the Director(s), on day-to-day operations, including, calendar management, hiring inquiries, and transactions. Provide back up support to other members of the team as needed.
Manage and maintain the Who's Who directory in real-time, for all staff and faculty of CBS and ensure accuracy of information. Liaise with the Dean's Office and the Academics team on updates to faculty profiles. Update staff photos and bios as necessary.
Manage the School's Time, Labor and Absence Management system (TLAM), to ensure all absences and timesheets are accurately reflected in the system. Work with managers and staff, to resolve pending transactions, and escalate issues to HRPC or the CBS HR team, as needed. Provide trend reports to the Senior Director(s) on staff absences and other reports as needed.
Manage and maintain the department's employee database and tracking logs, inclusive of performance management, recruitment, administrative transactions, Title IX training, etc., to ensure that information is updated in real-time and is accessible to the HR team at all times. Prepare PAFs, TBHs, and maintain departmental organizational charts, listservs, and the staff plan.
Manage weekly, semi-monthly, and bi-weekly payroll check distribution to ensure timely delivery. Create and maintain a tracking process to ensure the School remains compliant with University guidelines. Follows up with staff as needed to ensure employees collect their checks promptly.
Coordinate temporary staff hiring and tracking for non-research related positions. Liaise with the Temporary Staffing Office to screen potential candidates and provides quarterly reporting.
Manage full-cycle hiring transactions within the applicant tracking system. , includes but not limited to, posting positions on the University Careers site and other external sites as directed. Participate in the recruitment process, including pre-screening candidates, setting up interviews, and conducting reference verification.
Proactively manage the background check process for all new staff to obtain clearance and ensure a smooth, successful, and timely onboarding. Work with Central HR to resolve any delays or issues before the employee's first day.
Facilitate all aspects of the orientation, onboarding, and off-boarding process for staff. Coordinate with key stakeholders, facilitate new hire, and/or off-boarding meetings. Coordinate all new hire and/or exit documents to ensure timely and accurate activation/deactivation in all Columbia systems. Provide back up for casual/academic hires.
Work with the Senior Directors on the end of the fiscal year process, including roster preparation, performance reviews, bonuses, promotions, and merit increases.
In conjunction with the Financial Planning Office, and the Senior Director, responsible for the accurate creation of Purchase Orders, reconciliation of p-card transactions, and ensure compliance with all University procurement guidelines. Liaise with Operations on the procurement of office supplies.
Coordinate trainings, workshops, and the annual staff celebration working closely with the Senior Director(s). Perform related work and special projects, as needed.
Bachelor's degree and/or its equivalent required. Minimum of 2-4 years of related work experience required.
Must have strong interpersonal, oral, written, customer service, and presentation skills. Demonstrated proficiency in computer/technical skills, Microsoft Office, Visio, particularly in the creation of spreadsheets and the use of a database preferred. Detail-oriented, with a proven ability to handle and prioritize multiple tasks and work well under deadlines required. Must be a proven team player, able to work cooperatively in small groups as well as independently, manage various projects with changing deadlines. Must exercise tact and discretion when interacting with the School's diverse constituencies, including faculty, students, and administrators. Discretion and judgment with sensitive and confidential matters are essential. A confidentiality agreement will be required. Must be able to work evenings as appropriate.
Two years previous human resources experience strongly preferred. Familiarity with PeopleSoft applications, event management, and knowledge of Columbia University HR policies and procedures desired.
