The Department of Emergency Medicine (EMD) at the Columbia University Irving Medical Center (CUIMC) is in search of an experienced HR Generalist who will be responsible for ensuring all employees, faculty and trainees are efficiently and compliantly guided and supported throughout the continuum of their employment in the Department of Emergency Medicine, including recruitment, onboarding and training, international affairs, academic and postdoctoral affairs, annual compliance, reappointments, promotions and separation. This position requires an extremely perceptive person who is capable of relating to individuals at all levels within the organization.
Reporting to the Director of HR and Academic Affairs (Dir HR/AA), the HR Generalist will work closely with CUIMC HR, Faculty Affairs, International Affairs, NYPH Medical Staff Office, and Service Corporation hiring multilevel employees and processing all required paperwork.
Obtain required approvals to post positions in Columbia University application systems (TalentLink, RAPS) and relevant publications and/or websites
Manage hiring transactions within application systems
Participate in the recruitment process as needed, including pre-screening candidates, setting up interviews, reference verification
Communicate CU Benefits to potential candidates
Communicate with candidate, hiring manager and leadership regarding the hiring process
Provide, obtain and process necessary hiring documents in HRIS systems and paper submissions.
Coordinate and monitor clinical appointment process with Medical Staff Office for physicians, physician assistants and nurse practitioners
Ensure faculty and staff are enrolled and complete necessary trainings for position
Process, monitor, and track incoming Research Interns, visitors or observers (NYP)
Schedule orientation and assist with time sheet population for new hires
Coordinate white coat and scrub orders and return
Coordinate reappointments for all clinical providers (physicians, nurse practitioners, physician assistants)
Ensure all clinical staff receives notifications and instructions regarding reappointment process and deadlines
Track reappointment documents and compliance.
Follow-up to ensure clinicians provide required documentation to meet deadlines to avoid suspensions and/or fines
Assist Division Chief/Chairman with approval of all reappointment packets.
Maintain and disseminate compliance reports regarding university and hospital initiatives, including but not limited to:HIPAA & Security Essentials, Conflict of Interest, Columbia Faculty Briefing, Title IX, Harassment and Discrimination, Annual Hospital Training (AHT), Annual Health Review (AHR), Influenza (FLU), Annual Stroke CME, NYP Professional Practice Evaluations (FPPE/OPPE) for new and existing clinicians.
Maintain active credentials to support NYP appointment (LIC, DEA, Board, PALS, ACLS, BLS, Infect Cont., Opioid Training, Moderate Sedation, Central Venous Catheterization, etc.)
Maintain Administrative Joint Commission files for compliance
Leave of Absence (LOA)
Assist with LOA in accordance with federal, state, city and university guidelines and policies.
Work with outside departments to process and track paid and unpaid LOA requests to avoid over or underpayments.
Provide administrative support to the office including responding to inquiries related to staffing, payroll, benefits, HR policies, labor/employment laws, and regulations via telephone, email and in person.
Process monthly timesheets for Officers of Administration and submit annual time off reporting
Conduct periodic audits of personnel files for multiple purposes.
Enter relevant data changes into the appropriate reports including, but not limited to, leave of absence tracking; recruitment tracking; demographic data, etc.
Schedule meetings; coordinate room bookings for various events; and perform other administrative duties as may be assigned.
Assist with special projects as needed including but not limited to Open Enrollment, Performance Appraisals, Employee Recognition and Employee Engagement
Any other related duties as assigned
Bachelor's degree with relevant experience required plus a minimum of three years of progressive experience in an academic medical center. Administrative experience in Human Resources or Faculty Affairs a plus.
Expert knowledge of Microsoft Office Suite, and web-based database applications required.
Knowledge of PeopleSoft, Cactus and MSOW credentialing systems.
Ability to work under pressure with multiple and competing deadlines required. Must be highly organized, with excellent verbal and written communication skills. This position requires excellent customer service skills, must possess a professional and positive attitude.
Must have proven record of ability to work as part of a team, with administrative, clinical, research, and financial staff.
