Position Summary: Provides human resources services to Foundation (UMF) management and staff in the areas of HRMS, staffing and recruitment, HR records and employee programs and services.
Responsibilities: HRMS Management – 40% â— Process all HR transactions into PeopleSoft including salary increases and adjustments, hires/movements, absence management, separations, position changes, etc. â— Process bi-weekly payroll and ensure compliance with employment rules for bi-weekly payroll and personnel changes in HRMS system â— Reconcile and audit payroll and related documents for compliance and accuracy. Analyze errors and recommend course of action to remedy the errors. This includes any over-payments and underpayments. â— Independently ensure compliance of absence rules and absence-reporting requirements in HRMS system. â— Analyze and devise methods and processes for completing transactions in a timely and efficient manner.
Staffing and Recruitment – 30% All UMF positions (P&A, CS, BU, CS, students and interns) â— Route requisitions for approval, enter position into HRMS, post job openings, initiate and process background checks, I9 and other terms of employment. â— Assists and back-up HR Talent Acquisition with coordinating interviews, conducting reference checks, etc. as needed. â— Oversees UMF new hire on-boarding process including maintaining and revising orientation content and resources, preparing welcome packets, coordinating first day of employment, and delivering new hire orientation. â— Tracks probationary periods for new hires. â— Process terminations and off-boarding. â— Reviews and makes recommendations for process improvement. â— Maintains updated organizational chart. â— Develops and maintains strong working relationship with OHR.
Employee Programs and Services– 20% â— Coordinates and tracks leaves of absence; including family & medical leaves (FMLA), personal leaves, and vacation/sick leaves. â— Consults, researches and responds to general absence management and payroll questions. â— Ensure UMF directory information is current; work with internal communication as needed. â— Acts as the UMF HR Wellbeing Champion. â— Other projects and duties as assigned.
HR Records Maintenance and Retention – 10% • Organize and maintain HR records including personnel files, medical files, requisitions, I9s, etc. • Adhere to U of M records retention schedule in order to maintain and purge records accordingly. • Ensure records are secured and only accessible to authorized personnel.
Required Qualifications: â— BA/BS degree Human Resources or related field; or a combination of related education and professional HR work experience to equal 4 years. â— Demonstrated experience with recruitment and selection practices and standards, such as posting advertisements, resume screening, and applicant tracking. â— Proficient knowledge of Microsoft Office Suite. â— Demonstrated customer-service orientation with high energy and work style which positively engages others in the work of the team. â— Excellent problem solving skills, research skills, with demonstrated critical thinking ability. â— Ability to maintain confidential information; responsive to the needs of internal and external constituencies, establishing effective working relationships and responding with a sense of urgency specific audiences; customer focused. â— Excellent verbal and written communications skills required with strong customer service orientation, writing using good grammatical style and form â— Effective organizational skills with strong attention to detail; ability to prioritize support for a multi-functional work group; demonstrated ability to successfully meet deadlines; flexible, ability to adjust effectively to unexpected changes. â— Proven ability to work independently or in a team setting
Preferred Qualifications: â— Human Resources Management System experience, preferably PeopleSoft â— Advance skills with Excel, Word, Visio and PowerPoint. â— Applicant tracking system database experience â— Experience processing invoices and expense reports
