The person selected to fill this position is responsible for monitoring all tasks necessary to accomplish the organization’s payroll processing and HR and Learning and Development objectives. This position requires an extremely detail orientated person with significant knowledge of human resources and payroll administration and systems knowledge, including state and federal regulations.
Scope of Responsibilities:
Analyzes, prepares and inputs payroll data using an automated system to produce accurate and timely payroll. Ensures compliance with all applicable state and federal wage and hour laws.
Generates reports/queries from the Payroll, HRMS & LMS, including maintaining and supporting a variety of reports or queries utilizing appropriate reporting tools. Prepares weekly, monthly, quarterly and year-end reports (gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions, etc.) for management. Helps maintain data integrity in systems by running queries and analyzing data.
Reviews wages computed and corrects errors to ensure accuracy of payroll. Records changes affecting net wages such as exemptions and insurance premiums for each employee to update master payroll records. Performs various journal entries, account reconciliations, and provides general ledger support as needed.
Identifies and understands issues, problems and opportunities. Compares data from different sources to draw conclusions. Recommends process improvements, innovative solutions, policy changes and/or major variations from established policy, which must be approved by appropriate leadership prior to implementation.
Performs system maintenance, including assisting in the review, testing and implementation of Payroll and HRMS upgrades or system changes. Maintains HRMS system configuration tables. Documents process and results.
Provides production support, including researching and resolving Payroll, HRMS & LMS problems, unexpected results or process flaws; performing scheduled activities; recommending solutions or alternate methods to meet requirements.
Participates in training including developing user procedures, guidelines and documentation for any new system changes. Trains employees on new processes/functionality.
Maintains awareness of current trends in Payroll and HR with a focus on product and service development, delivery and support, and applying key technologies. Examines trends in information systems training, materials and techniques. Serves as the subject-matter expert.
Manages and administers the Learning Management System, TLC. Manages the employee library databases and tracks any relevant information related to an existing or new employee record. Run ad hoc, weekly, monthly, quarterly and annual reporting.
Maintains the departmental records retention schedule, ensuring that documents are created, archived and/or destroyed in accordance with the schedule.
Manage and maintain self-service feature in HRMS to include but not limited to onboarding, benefit changes, terminations, pay changes, etc.
Assists with the preparation of the Affirmative Action Plan.
Serves as back-up in reconciling and processing benefit invoices for payment.
Oversees the employee recognition program (Perk Program) and ensures information is reported timely and accurately as outlined in our policy.
Assists HR and Training as needed, to include but not limited to policy and procedure review, event preparation or training request, such as Webex.
Maintains a positive and caring atmosphere for members and employee consistent with the credit union's mission and philosophy.
Maintain an understanding and competency with respect to software and other systems required to perform the duties of the position.
Ensures positive relationships with branches, internal departments and external partners.
Responsible for maintaining a working knowledge of computer equipment and software required including Microsoft Word and Excel.
Maintains current knowledge of applicable state and federal wage and hour laws.
Bachelor's degree (B. A.) from four-year college or university or technical school; a minimum of four years of HR and payroll processing experience
