The Department of Pediatrics at the Columbia University Irving Medical Center is in search of an experienced HR/Faculty Affairs Generalist who will be responsible for applying human resources expertise. He or she will assist in providing a wide range of HR and Faculty Affairs support. The successful candidate will play a key role in the success of the Department by providing day-to-day advice and handling operation procedures that align to the University's policies and guidelines. The Generalist will serve the Department according to HR best practices while facilitating a positive relationship between personnel and senior management. The Generalist will be reporting to the Manager of HR and Faculty Affairs.
The Generalist will work closely with CUIMC HR, Faculty Affairs, International Affairs as well as NYPH Medical Staff and Nursing credentialing offices and Service Corporation. He or she will work closely to resolve issues and to ensure timely processing of new hires, credentialing appointments, reappointments, and other related transactions. He or she will assist with the orientation of new faculty and staff.
Monitor and tracks position control reports and decimate information to the divisions, managers
Submit search form and request to Physicians and Surgeons Review Committee (PSRC) for approval.
Post new and replacement positions internally and externally upon approval.
Finalize and close positions.
Work closely with manager(s) or Division Administrators to review, and submit new and rehire documentations to Service Corporation.
Pre-screen and set up interviews for potential candidates.
Participate in the recruitment process as needed, including pre-screening candidates and reference verifications
Serve as primary contact with Division Administrator to assist with the initiating through onboarding new hires (CU and Service Corp), Faculty, and fellows
Facilitate the completion of background checks including but not limited to reference checks, criminal checks, and education checks.
Schedule orientation and assist with time sheet population for new hires.
Process new hires via Template base hire (TBH) or Personal Action Form (PAF) or Nomination form
Process, monitor, and track incoming visitors or Observers (NYP)
Work as a liaison with the Division Administrators to coordinate the successful onboarding or transfers of Physicians, Administrative Staff, Union Staff, Nurse Practitioners and Physician Assistants.
Coordinate and work closely with CU & NYP to ensure new faculty and staff are clinically appointed timely.
Ensure all clinical staff receives notifications of reappointment application.
Track reappointment documents and compliance.
Follow-up to ensure clinicians meet medical staff office deadlines to avoid suspension and or fines appointment
Assist Division Chiefs/Chairman with approval of all reappointment packets.
Coordinates appointments and reappointments for Faculty and Fellows, as assigned.
Work closely with the Payroll Manager to generate, reconcile and audit time sheets for Officers of Administration and Bi-weekly employees.
Ensure compliance by tracking and send reminders to Employee(s), Manager(s) and Department Leadership.
Leave of Absence (LOA)
Assist administrative and faculty with LOA in accordance with federal, state, city and university guidelines and policies.
Work with outside departments to process and track paid and unpaid LOA request to avoid over or underpayments.
Assist Pediatric HR leadership with the clean-up of compliance reports of divisions regarding university and hospital initiatives, including but not limited to:
Columbia Faculty Briefing, Title IX
NYS Sexual Harassment and Discrimination
Conflict of Interest
HIPPA & Security Essentials
Annual Health Review (AHR)
Annual Hospital Training (AHT)
Ensure all divisions comply with NYP Professional Practice Evaluations (FPPE/OPPE) for new and existing clinicians.
Maintaining Administrative Joint commission files for compliance
Training and Educational Development
Assist HR leadership in the monitoring and ensuring that all new and existing administrative staff including management are compliant with all necessary and mandatory trainings
Send communications to staff/management on new and upcoming trainings for the growth of our employees
Coordinate HR leadership in employee engagement, including but not limited to preparation of materials via email and/or mailing, celebrations, and announcements.
Strategize for staff engagement events.
Provide administrative support to the office including responding to inquiries related to staffing, payroll, benefits, HR policies, labor/employment laws, and regulations via telephone, email and in person.
Conduct periodic audits of personnel files for multiple purposes.
Type, copy, fax, and answer multi-line telephone; process timesheets; open and distribute mail for the HR department; schedule meetings; coordinate room bookings for various events; and perform other administrative duties as may be assigned.
Post positions internally and/or on external job boards and screen candidates for vacant positions.
Enter relevant data changes into the appropriate reports including, but not limited to, leave of absence tracking; recruitment tracking; demographic data, etc.
Assemble new hire orientation packets.
Assist with special projects as needed including but not limited to Open Enrollment, Performance Appraisals, and Employee Recognition.
Generate reports as needed including but not limited to recruitment and retention, general employee reports.
Any other duty as may be assigned.
Provide cross coverage for other HR/Faculty Affairs Generalist.
Any other related duties as assigned
Requires a Bachelor's degree or equivalent in education and experience, plus three years of related experience.
Human Resource experience in an academic and or hospital setting.
Excellent customer service and interpersonal skills
Proficient in Excel, Word, PowerPoint, and Vizio.
PHR/SPHR certified preferred.
