Provide support to the overall posting and recruitment process. Functions as primary contact for department managers and business office personnel for administrative and technical questions regarding systems, procedures and processes. Assists departments in appropriately posting accurate job descriptions and requirements. Works with recruiters to ensure completion of pre-employment screenings and to facilitate skills assessments and related recruitment tools.
PRIMARY DUTIES AND RESPONSIBILITIES:
Reviews, approves, and posts new job requisitions submitted by department users in a timely manner. Checks new job requisitions for accuracy and completeness prior to posting. Ensures correct position title, minimum requirements, and salary range match University and School of Medicine job descriptions. Works with Department Managers, Business Office Personnel and Compensation to answer questions and resolve discrepancies with job requirements and job postings.
Screens prior employees for rehire eligibility, and checks that transfer applicants have met transfer eligibility.
Ensures pre-employment screening tests and assessments are administered appropriately and assists hiring managers in evaluating and interpreting candidate results.
Performs employment reference checks and verifies required license/certifications on applicants.
Performs pre-employment screening processes for new hires as required by job title. Ensures drug screens and background checks are completed prior to start date.
Strategizes with teammates and recruiting manager to determine and accomplish recruitment goals.
Assists recruiters and hiring managers with writing and placing advertisements as requested.
Submits assigned reports in a timely manner.
Assists recruiters in promoting the University’s Affirmative Action efforts.
Helps ensure departmental compliance on laws and policies on recruitment, employment and hiring. Provides guidance to management regarding compliance with federal or university applicant screening and tracking requirements.
Supports senior level recruiters in scheduling, managing calendars and coordinating travel schedules for candidates.
Performs specific projects as assigned, such as ensuring hospital and medical school credentialing requirements are met; developing and overseeing externship placements within departments; on-campus career fair planning; off-campus career fair participation; and handling committee-based recruitment planning efforts to address needs of labor shortage/critical skills.
CONTACTS: Works with all levels internal to the University and the School of Medicine. Will also have external contacts dealing with applicants and other organizations from which we recruit. Helps maintain the University and the School of Medicine’s presence in networking organizations and events.
Equivalent of Associate’s degree with 2-4 years experience in administrative support-related areas.
Ability to multitask and deal with high volumes of requests.
Strong communication and listening skills and high level of perception when dealing with others.
Broad general knowledge of Human Resource areas to include compensation, benefits, and employee relations policies and regulations.
Good knowledge of University and Medical School culture.
Ability to work with highly confidential information and materials.
Strong knowledge of Human Resources recruitment policies and regulatory issues.
The hiring range for this position is $19.18 - $24.47 per hour.
