Assist the Director, Associate and Assistant Directors with a variety of Human Resource related tasks including Workers' Compensation, HR communications, employee data maintenance, and other responsibilities. Support the Talent Acquisition Manager with recruitment related responsibilities. Perform a full range of administrative office support duties requiring strong customer service and organizational skills.
Essential Job Functions:
Assist in the recruitment and onboarding process for support and administrative staff by supporting the Talent Acquisition Manager; edit and manage requisitions and postings; schedule employment interviews, draft employment ads, post jobs internally and externally, coordinate regret letters, and similar tasks. Coordinate and assist hiring managers, department assistants, and applicants with problems and/or issues; troubleshoot issues as needed, assist with problem resolution, and log cases with the applicant tracking service provider. Receive and assist job applicants and provide a general explanation of job vacancies. Track and compile applicant flow and other employment data. Arrange for temporary replacements through temporary employment agencies and process time sheets and invoices.
Maintain personal and demographic data for all faculty and staff in human resource information system (HRIS); assist, as required, in maintaining other electronic records, such as job data, benefits, performance review data, and similar information. May assist in basic payroll processing.
Perform general administrative office support including preparing correspondence, reports and forms; maintain office supplies, process incoming and outgoing mail, greet visitors to the office, distribute mailings, prepare meeting minutes, and perform other administrative tasks. File and maintain paper and digital personnel records for support staff and administrative staff. Schedule appointments, as necessary, for the Human Resources administrators; manage calendars. Perform research and assist in preparation of a variety of reports; assist in monitoring department budget. Assist in coordinating the publication of the human resources newsletter. Maintain office web site. Assist in coordinating a variety of additional programs.
Assist in the generation of personnel reports, lists and labels requested by campus offices. Assist Directors in developing, editing, and producing communication materials on benefits, policies, and other matters.
Assist in the administration of departmental policies and procedures, including FMLA and other leave paperwork for all faculty and staff.
Coordinate completion of accident/injury reports and process and file and monitor all Workers' Compensation claims; raise important issues in a timely manner with the Director. Troubleshoot claims, issues with third party administrator (TPA) and Bureau of Workers Compensation (BWC).
Assist in communications regarding the dependent tuition programs; process tuition payments; work directly with accounting and financial aid to confirm and reconcile participants; coordinate GLCA participation with other colleges and GLCA office and reconcile annual records/bill.
Assist in the coordination of medical billing for retirees and their spouses/dependents every 6 months; work with the accounting department to ensure an organized process and accurate billing.
Perform other duties as assigned.
High school graduate or equivalent with a minimum of 4 years of administrative office experience, or associates degree or greater with two years of administrative office experience; must be highly organized and able to work within a fast-paced environment; possess excellent interpersonal skills and able to relate well to both internal and external constituents.
Ability to operate and use basic office equipment and computer applications including Word and Excel. Must be able to proactively problem-solve and conduct research; able to work independently and on a team, and exercise judgment in coordinating various activities and tasks. Must be able to multi-task and be detail-oriented. Must be to handle confidential information discreetly.
Associate's or bachelor's degree, preferably in business, communications, or human resources. Experience in a human resources office. Ellucian Banner/HRIS experience and knowledge in applicant tracking systems.
Pay/Salary: Minimum rate of pay $18.83
