Reporting to the Director of HR and Recruitment Services, the HR Assistant provides a broad range of confidential administrative support for all aspects of a fast-paced Human Resources Office.
Duties and responsibilities include, but are not limited to, the following:
Front desk administration: The HR Assistant is responsible for serving as the first point of contact for staff on general information regarding human resources policies, procedures and benefits, and directing questions to other HR staff as needed. The HR Assistant will greet customers, answer incoming telephone calls and emails, handle inquires and redirect to appropriate person/department when necessary. They will be responsible for other administrative duties including: ordering supplies, troubleshooting equipment with associated vendors, tuition assistance eligibility verifications and approvals, fitness reimbursement benefit administration and maintenance of the HR calendar.
HR Partner support: The HR Assistant is responsible for composing and maintaining status change letters (promotions, equity adjustments, schedule changes, term appointment extensions, etc.). They will also be responsible for uploading HR documentation into electronic record filing system (Imagesilo) and for I-9 processing and employment verifications and authorizations. The HR Assistant works with the HR Partners to process layoffs and coordinate case management of laid off employees. HR Assistant is responsible for configuring and analyzing Independent Contractor data and working with the HR Partners to further analyze the data and determine next steps. They will assist with the coordination of meetings and/or HR-related trainings and maintains/updates sections of the HR website. They will compile compensation reports/data for review by HR Partner, conduct equity reviews and schedules exit interviews. They coordinate nominations for leadership development and other types of trainings provided by the University.
Other related duties: The HR Assistant coordinates and delivers the School-wide weekly newsletter (Staff Heads Up). Supports the creation, continuous improvement and maintenance of all internal HR process and procedures, documentation, templates (hire forms, and guides), job descriptions and the HR shared drive. They will also support School-wide events and other HR related activities. The HR Assistant also provides back-up administrative support for Senior Director and the Leave of Absence Coordinator, and performs all other duties as required.

3+ years of related experience required, a combination of education and experience may be considered
Bachelor's degree preferred
Strong interest in HR or experience in HR preferred
Experience with Microsoft Word, Excel, and PowerPoint preferred
Excellent communication skills, both written and oral, preferred
Excellent organizational skills preferred
Experience successfully handling multiple tasks with constant interruption preferred
