The HR Coordinator will assist the HR Manager and the Sr. HR Coordinator to ensure compliance with university policy and procedure. Individual exercises independent judgment in the resolution of human resource and payroll issues. Provides accurate, timely, routine customer focused HR support to division. Handles all inquiries with a customer friendly attitude. This position will be responsible for assisting with the day-to-day administrative functions of Radiology Human Resources including transactional payroll items, credentialing and HR request.
Primary point of contact for payroll questions. Advises on payroll policies and procedures, assures that payroll is processed timely and accurately.
Prepares any payroll documents that are needed for all employees in the Department of Radiology.
Knowledgeable in Kronos and SAP
Maintains system to track faculty/staff payroll information and generate reports
Responsible for handling all student requests and communication ensuring that all university requirements and payroll guidelines and deadlines have been met.
Builds relationships with other resources not limited to the Shared Services, Payroll Office, Faculty Office and Post Doc Office to monitor/ resolve payroll issues: control salary, salary distribution/supplements/merit increases/terminate payroll
Responsible for the timely distribution of all payroll checks
Processes promotions, transfers, reclassifications, salary increases, bonus supplements, manage tracking for all SAP Internal Service Requests (ISR)
Handles I9's when needed.
Responsible for putting hours in CATS for casual employees
Manage overpayment process
Submit all ISRs for requisitions as directed by the HR Manager
Runs reports when necessary for credentialing team and managers
Manage the quarterly TB reports and reach out to faculty and staff must comply with the requirement
Manage the Influenza reports and reach out to all Radiology employees who must comply
Run quarterly equity reports Run bi-monthly Supervisor reports
Run training report quarterly to assure that all JHACO requirement are met
Update the faculty database as needed. Run reports to ensure no delayed payroll
Sun reports in Success Factors to ensure goals and checkpoints are entered timely
Assist with the reappointment of faculty
Assist with the Visa process
Assist in the credentialing process of research Fellows
Interact and build relationships with the International Office, Medical Staff Office, Faculty office and Post Doc Office to ensure compliance in the credentialing process
Maintain and manage personnel files for all new hires and terminated employees.
Make sure all required documentation is in Radiology personnel files and kept up to date.
Handles supply ordering, invoices and expenses for Radiology HR
Schedules meetings, reserves conference rooms and orders food for HR functions
Monitors the Group HR email box
Assist with materials when needed (make copies, put packets together etc.)
Acts as a back up to E210 administration for the department
Gather new hire data forms for necessary incoming faculty, residents and fellows
Other duties as assigned
Minimum qualifications (mandatory):
High school diploma or GED. Three years related experience required. Additional related education can substitute for experience, to the extent permitted by the JHU Equivalency Formula.
Bachelor's degree in human resources, business management or other related field preferred.
Special knowledge, skills, and abilities:
Excellent computer skills, including Outlook, Word. SAP experience a plus. Work will be moderately supervised, but must have independent problem-solving skills. Must be able to interact effectively with internal and external customers at all levels.
JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
