The HR Specialist position serves on the IU School of Medicine Human Resources team and is responsible for supporting the full life cycle of talent management including writing job descriptions, attracting, recruiting, selecting and onboarding for staff positions and assisting with the performance management process. The HR Specialist will partner with and support the Human Resources team, comprised of leadership, HR Business Partners and HR Specialists to provide quality support and services to units/departments.
Partner with HRBPs to support talent acquisition activities. Create job advertisements, post positions and manage work flow in job posting system. Coordinate search committee process and serve on search committees when requested. Conduct phone pre-screening interviews. Conduct employment reference checks and provide summaries to hiring manager. Serve as a liaison with Talent Acquisition COE and the Office of Equal Opportunity to ensure compliance with university regulations. Provide support and information to hiring managers regarding basic procedures in the recruitment, referral, evaluation, and selection of applicants. Provide education, training, advice and coaching for the hiring manager as well as the search committee on talent acquisition methods and the recruitment process and the relevant university/campus policies/procedures and regulatory requirements.
In addition to the above, for routine staff positions, at HRBP request, manage the full cycle of talent acquisition including sourcing, attracting, recruiting, selecting and onboarding. Partner with the hiring manager to understand staffing needs and identify methods and resources necessary to meet those needs in a timely and effective manner. Conduct talent acquisition strategy meetings with hiring managers; lead candidate interviewing, selection, negotiation, and offer stages. Educate candidates on benefits, salary, and culture. Ensure a positive candidate experience through continuous communication, follow-up, and engagement throughout the selection process. Troubleshoot issues related to candidate dissatisfaction.
Support the HR team in the day-to-day operations by performing HR-related administrative tasks. Initiate edocs, background checks, and I-9s as needed. Monitor the status of eDocs and follow up when appropriate. Assist with the performance management process. Serve as a resource for faculty and staff regarding university policies and IUSM procedures. Disseminate information regarding new and updated procedures including, but not limited to: compliance, benefits, and employment policies. Maintain compliance with policies and procedures. Additionally, maintain knowledge of current developments in human resources regulatory practices (Federal and State) for policy implementation and practice purposes.
Manage preboarding and initial onboarding processes for new employees ensuring timely completion of documents and welcome to IUSM. Assist managers with onboarding of new employees as needed. Manage new employee evaluation process to ensure timely feedback and, if necessary, counsel supervisors on remedial measures if expectations are not being met. Recommend improvements to the onboarding process and assist with the development of onboarding tools.
REQUIRED: Bachelor's degree and two years of experience in human resources or related field.
Strong organizational skills with the ability to prioritize and meet deadlines. Ability to maintain confidentiality. Strong skills in interpersonal communication, building and maintaining positive relationships, effectively work with people of different cultures, and communicating with individuals at all levels of the organization through a variety of means. Proficiency in Microsoft Office Suite. Excellent computer knowledge and ability to learn new systems.
