The successful candidate will be responsible for coordinating all aspects of the human resources/payroll process for a large and complex department. Duties will include with coordinating the search process and shepherding it through to the hiring and onboarding process for the Department of Educational Psychology. This person will act as a liaison to the CEHD Human Resources and Financial Services Office. This person will report directly to the Administrative Director, with a dotted line of responsibility to the Department Chair.

Payroll Processing (40%)
Responsible for submitting all payroll transactions for entry within the department for all five program areas
Ensure sponsored appointments reflect the approved budget by working in close collaboration with FSO accountant
Responsible for submitting complex summer research and instructional appointments for over 100 staff, including gathering information from outside departments, ensuring proper budget is charged, and calculating salary.
Independently meet with program staff and sponsored accountant regularly to review Graduate Assistantships, ensuring all GA appointments meet Papaya deadlines
Track appointments after submission to ensure proper setup
Maintain payroll spreadsheet which details appointment data, pay amounts, and pay periods covered
Reconcile payroll reports and prepare for review and approval by Administrative Director
Human Resources Support (40%)
Develop a process to ensure smooth workflow between managers and Ed. Psych. administration on all hiring within the department
Serves as hiring authority in the online employment system for Ed. Psych
Assist programs with position description development and posting of positions through online employment system
Work with managers to advertise positions and maintain search files
Draft offer letters on behalf of the department, ensuring signed copies are returned and forwarded to CEHD Human Resources
Meets with new hires, including undergraduate and graduate assistants, CSBU, P&A, and faculty employees to complete all new hire paper work including I-9, access to systems, IDs, etc.
Serve as search committee contact for all faculty searches
Coordinates contact for international visitors requests, scholars, and students VISA requirements and handle VISA applications, paperwork, and follow-up and communication with scholars regarding process
Maintain personnel/payroll files for the department
Oversee and maintain position management for the department, working with the Administrative Director and CEHD HR to create and make changes to positions
Administrative Support for Department and Programs (15%)
Manage complex process of annual merit review for Department faculty and P&A, communicating instructions, deadlines, and oversight for submission of WORKS and other relevant documentations in preparation for Department Merit Review Committee and Dean’s office review
Responsible for HIPAA Compliance and ensuring all staff complete appropriate training
Additional Duties (5%)
Attend regular training and professional development opportunities
Complete other duties as assigned by the Administrative Director and Chair, working independently to carry out tasks as required
High School diploma/GED and four (4) years administrative support experience, which must include two (2) years general office experience. Training/education may be substituted for some of the years of experience
Experience communicating both verbally and in written communication with internal and external customers
Computer experience required
Experience handling confidential material
Previous PeopleSoft experience
Ability to establish and meet deadlines
Grammar, spelling and punctuation skills
Excellent customer relations and interpersonal skills
