Susquehanna University is seeking a Human Resources Assistant to join a team of HR professionals who work to support the mission of the university. This position is an integral part of the Human Resources team and provides excellent customer service to the faculty, staff and students we work with every day. This position also works diligently in support of the day-to-day operations of a bustling HR office. Judgment and initiative are exercised frequently in answering verbal and written communications and in interpreting university- wide policies and procedures. Specific Responsibilities
Serve as the initial contact for the HR office providing excellent customer service, telephone coverage and answering inquiries when possible.
Coordinate calendar and screen all appointment requests for VP of Human Resources. Determine priority in scheduling and use judgement in handling sensitive requests.
Create faculty letters as directed by the deans and provost ensuring the process is accurate and timely.
Process all necessary paperwork and activities for new hires, reviews and terminations. Responsible for the maintenance of employment files, process required forms and paperwork, and perform data entry ensuring systems containing employment-related data is accurate.
Partner with Employment Coordinator in managing employee clearances including keeping accurate records/database files, ensuring compliance with new hires and recertification for current employees.
Provide support for benefits processing and payments including processing workers' compensation claims.
Schedule and organize meetings, events, trainings and other functions of the HR office
Supervise student employees which includes assigning & supervising projects.
Create orientation materials and serve as back-up facilitator
Provide employment verifications for current and former employees.
Maintain a professional office environment which includes keeping inventory of supplies, benefits forms, booklets, etc.
Knowledge, Skills, Abilities Knowledge of principles and processes for providing customer service including customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction; Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology; Skilled at written and verbal communication in order to convey information effectively and as appropriate for the needs of the audience; Knowledge of principles and procedures for personnel recruitment, selection, training, compensation and benefits, labor relations and personnel information systems; Knowledge of English language including meaning and spelling of words, rules of composition and grammar; Skilled at active listening in order to give full attention to what other people are saying, taking time to understand the points being made, asking questions appropriately, and not interrupting at inappropriate times; Ability to manage one's own time and the time of others; Ability to set priorities; Ability to work collaboratively with others as well as independently. Education High school degree or equivalent required. Experience Three years of experience working in a professional office is required. Physical Demand Sedentary Work – Exerting up to 10 pounds of force and a negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time, but may involve walking or standing for brief periods of time. Position requires the ability to talk and to hear instruction. Position requires manual dexterity and the ability to use fingers, hands, and arms to type, feel, handle, and reach. Position requires occasional stooping, crouching and bending. Working conditions are indoor.
Experience Human Resources experience preferred.
