The HR Generalist works closely with the Director of Employee Services to efficiently and effectively onboard employees and maintains the integrity of employee records. This position also has responsibility to provide employees with day-to-day HR support covering a wide range of topics, from answering general questions regarding employee benefits and policies to securing employee access keys and badges. Responsibilities are carried out in a positive manner with a focus on creating a work environment where employees feel respected, cared for and well-informed. Relies on extensive work experience and judgment to plan and accomplish goals. Performs a variety of tasks while maintaining confidentiality and integrity of VNA.
Assists with the day-to-day efficient operations of the HR office, including filing employee records.
Monitors and ensures timely communication and compliance of current licensures, certifications, registrations, and education as required in job descriptions and company policies and procedures.
Maintains all employee personnel and volunteer paper and HRIS electronic files. Scanning/filing of all employee file documentation as requested/required including scanning of performance evaluations into HRIS system.
Conducts onboarding credentialing and ongoing re-credentialing.
Conducts new hire orientation.
Administers new hire insurance enrollments, changes, and terminations to insurance carriers as well as COBRA.
HRIS entries and notifications to payroll necessary for appropriate payroll deduction for corresponding coverage.
Guides employees through open enrollment process and serves as a resource to employees in benefits administration.
Partners with Payroll and Accounting regarding benefit reconciliations. Provides notification and updates to the Director of Employee Services regarding the need for employee premium adjustments.
Works with employees regarding the maintenance of benefits and premium collections for leave of absences.
Assists with the exit interview process to include, however, not limited to the completion of the termination checklist, “What to Expect” document and processing changes regarding benefit information for exiting employees.
Responsible for updating information for the healthcare worker registry, IDES, I9 verifications and other compliance reporting as required.
Provides timely reminders to managers for 90 day and annual evaluations. Send monthly reminder lists to Managers. Input evaluation data from completed evaluations into HRIS, to include evaluation score, and next review date. Scanning of performance evaluations into an electronic file. Maintains record of and provides monthly reporting past due performance evaluations.
Creates and updates employee badges.
Upon receipt of written request with appropriate release documentation, respond to verification of employment requests.
Completes special projects and reports (i.e.: monthly and quarterly exclusions) and research as requested.
Assists with coordination and monitoring of the annual TB Testing, Flu Shots program, job descriptions, quarterly random drug testing, etc.
Creates updates and distributes employee badges, directory, and S-Drive images as needed.
Responsible for updating Illinois Department of Public Health information of new hires and changes to online healthcare worker registry.
Represents VNA at designated community activities, committees, and events, and collaborates with representatives within community as necessary.
Maintains supplies of HR-related forms and information.
Assists in special projects and reports (i.e.: quarterly exclusions) and research as requested.
Follows established guidelines for use and/or disclosure of protected health information. Employees should report any breaches of the Health Insurance Portability and Accountability Act (HIPAA) rules to the Privacy Officer (Director of Quality, Education & Risk Management) immediately. Failure to comply with HIPAA policies and procedures will result in disciplinary action, up to and including termination of employment.

College graduate preferred.
Detail oriented with time management skills.
Ability to work in a fast pace and stressful work environment.
Knowledge and proficiency in Microsoft applications.
Ability to communicate and cooperate effectively with all staff and community contacts.
Minimum of 5-7 year’s work experience in HR.
Health Care Credentialing experience preferred.
Current driver’s license in the State of Illinois and current car insurance (must be kept up-to-date at all times). Must use own car.
