This position provides human resource assistant and receptionist services to the Wolverine Tower University Human Resources ground floor reception area and Recruiting & Employment Office. The Office of Recruiting & Employment Services is a unit of Staff HR Services. The office develops and maintains the university’s job posting and applicant management systems and related policies and processes in order to assist departments in the recruitment and retention of an outstanding workforce. Services include:
Temporary Staffing Services (TSS)
New employee onboarding and orientation
Reasonable accomodation case management
Job fairs, career conferences and recruiting activities
Recruiting for diversity
Employee ID cards (MCards)
I-9 completion and compliance
Provision of information on employment-related vendor services
Human Resource Functions
Conduct reference checks and ICHAT background checks for TSS candidates
Verify and validate employability of temporary staffing vendor candidates
Schedule interviews, administer pre-employment computer testing for TSS candidates
Create/edit job requisitions for use by TSS recruiters in sourcing candidates
Process temporary applications
Respond to routine questions about HR policies and procedures
Assist applicants and new hires with eRecruit hiring process
Assist with New Employee Orientation by preparing packets and promotional items for distribution to attendees
Meet with TSS new hires and provide new appointment information
Process new hire MCards and associated duties
Regional I-9 Center
Assist faculty and staff in completing the I-9 form
Ensure valid and acceptable documents that establish identity and employment authorization
Verify appointment information in MPathways and/or contact department or complete ServiceLink ticket if missing acceptable documents or appointment information
Insert Contact Note in MPathways when completed for non-students
Ensure compliance with federal law to ensure I-9’s are completed accurately and timely
Perform E-Verification of faculty and staff using the federal government’s online system
Benefits Administration – Support Shared Services functions as it relates to assisting customers with submitting forms and triage/escalate issues to appropriate resource as needed
Provide clerical/administrative support to Recruiting & Employment Services units - Temporary Staffing Services (TSS) and Diversity Recruiting
Greet customers at front desk and assist with various needs
Answer phones and reply to emails
Provide way-finding for building visitors
Open and close reception area and self-service rooms
Gather information and process/maintain various reports and databases
Update and maintain, as appropriate, policy and procedure manuals, and department records/files
Maintain office supply inventory and office equipment
Receive and distribute department mail
Maintain conference room calendar
Place work orders to UM Plant Operations for repairs as needed
Other duties as assigned

Relevant training certificate and/or associate's degree or a combination of education and clerical/administrative/HR experience. Must have excellent attention to detail, organizational skills, and ability to concentrate and focus on multiple tasks with numerous interruptions. Must possess professional oral and written interpersonal skills and ability to communicate with a diverse customer population. Strong customer service orientation is required. Must be discreet, tactful, and able to work with sensitive material confidentially. Must be cooperative, flexible, and teamwork-oriented. Must have experience working with Microsoft Office programs and other business software applications. Must be comfortable using office machines (fax, multiline phones, copiers, etc) or have ability to learn. Position requires remaining stationary for long periods of time generally in a seated position with ability to utilize office equipment such as computers, fax machines, and telephones in the performance of essential duties. Must be able to move about the office to perform essential tasks at various locations/work stations in the office. Will require the ability to move about the building daily as well. Position requires ability to lift office files, recruiting materials, and other related items generally not exceeding 30 pounds.
Previous university and/or human resources experience is strongly preferred. M-Pathways experience preferred, but not required. Experience with calendaring and using a multi-line phone system is helpful. Excellent computer skills particularly in Microsoft Office products and Google email and calendaring.
The work schedule is generally Monday-Friday 8am-5pm with a one hour unpaid lunch break (some flexibility may be available). Work is generally performed at Wolverine Tower.
