The College at Brockport
The Office of Human Resources at The College at Brockport, State University of New York, is accepting application materials for a Management Confidential, Secretary 2. Reporting to the Assistant Vice President for Human Resources, the Secretary 2 provides principal administrative support to the Offices of Human Resources, Payroll and Affirmative Action.
Manages the calendars of the AVP for Human Resources, both HR Associate Directors, the Affirmative Action Officer, the Employee Relations Specialist, and the HR Monthly Calendar. Monitors and reconciles multiple budgets. Coordinates and completes recruitment and selection paperwork associated with HR appointments. Prepares numerous types of letters including offer contract, prior service approval, renewal, separation and status change letters. Uses the applicant tracking system to manage applicant statuses, prepare and distribute new employee contract letters, and monitor applicant activity. Responds to applicant tracking system process questions and concerns from staff and new employees. Manages the hiring process, supervision and training of student workers including preparing their work schedules and approving their timesheets. Coordinates campus-wide training events.
Contacts and schedules internal and external speakers, trainers and representatives, determines catering menus, coordinates and schedules dates, rooms and equipment, arranges travel for external trainers and prepares all necessary paperwork.
Arranges, coordinates and processes travel and training registrations for all professional staff. Reviews outgoing correspondence for proper grammatical usage, clarity, factual correctness, compliance with policy, program information and conformance to instructions. Records and distributes minutes for several highly confidential departmental, policy and committee meetings. Serves as the backup to the Office Assistant 2 to perform such duties as answering the phones, greeting visitors, ordering general office supplies, and processing new employee paperwork and pending files.
Minimum Qualifications Two years of satisfactory secretarial experience; or satisfactory completion of a two-year course in secretarial science from a business school registered with NYS Education Department (SED) or from a NYS community college or technical institute recognized by SED as following acceptable educational practices; or a satisfactory combination of education and experience; exceptional detail orientation; and, effective interpersonal skills to work collaboratively with office colleagues and faculty and staff from across the campus.
Preferred Qualifications Able to work independently with minimal supervision; excellent oral and written communications skills; effective problem-solving skills; demonstrated self-initiative and ability to prioritize; ability to communicate with diplomacy and tact; and, knowledge of Microsoft WORD, Excel and PowerPoint.
Salary, Benefits and Work Schedule Minimum starting salary $50,565. Excellent benefits package including paid health, dental, and vision insurances, retirement, and generous paid time off. Work Monday - Friday from 8:30am to 4:30pm.
